Resume for Malaysia in 2026: what to put in, what to leave out, and what the person opening the file reads first

I open every shortlisted résumé at BlackRevo. The order I read it in, the one-page format that works here, the photo and IC question, a full fresh graduate sample, and what closes a file.

A résumé in Malaysia has one job: to get the person opening it to read past the first ten seconds. I open every shortlisted résumé for every role at BlackRevo, and I can tell you exactly what happens in those ten seconds, which is more useful than another template. This is the format that works here in 2026, the honest answer to the photo and IC questions, a complete sample for a fresh graduate, and the five things that close a file.

TL;DR

Card showing a one-page résumé layout: name and contact, two-line summary, experience or projects with results, education, skills and languages
The one-page résumé, in the order it gets read.

How the file is actually read

Not top to bottom. The eye goes to the name, then to the most recent job or project title and its dates, then to the education line, then back up to the summary if the first three earned it. That takes about ten seconds and decides whether the next two minutes happen. Everything about the format below follows from that: put the strongest, most recent thing where the eye lands, and make the dates and titles readable without effort.

Ten seconds. Then two minutes, or not.

At BlackRevo most résumés reach us through our own application form, which already holds your name, contact, education and work history in fields, so the file is read for what the fields cannot hold: what you actually did, and whether you can write. Unless a posting says otherwise, the form requires your name, email, phone, earliest start date, nationality, education history, work history and a score against each of our values; the CV itself is asked for, not required, and a candidate who has no file yet is not turned away for it.

The one-page format for Malaysia

1. Name and contact, three lines. Full name as on your IC, in the order you use it. Mobile with WhatsApp. A plain email address; yourname@ beats cutegirl2003@ every time. City and state, not the full address. LinkedIn or a portfolio link only if it is up to date. No IC number, no date of birth.

2. Summary, two lines. Who you are professionally and what you are looking for, with one concrete claim. "Marketing graduate (UTAR, 2026) who grew a client's Instagram from 200 to 1,400 followers in a three-month course project; looking for a junior digital marketing role in the Klang Valley." That is the whole thing. Not "dynamic, passionate, self-motivated".

3. Experience or projects, the biggest section. Most recent first. For each: title, organisation, city, month and year to month and year. Under it, two to four lines that each start with a verb and end, where you can, with a number: managed, wrote, grew, cut, launched, fixed. A fresh graduate uses internships, part-time work, final-year projects, club roles and the family business here; they all count if there is a result attached.

4. Education, short. Qualification, institution, year, CGPA if it is 3.3 or above, one line for a relevant final-year project. SPM results only if you have nothing above SPM yet, and then only the grades that matter for the job.

5. Skills and languages. Tools you have actually used, in a comma list, and the languages you can work in with a level: Bahasa Malaysia (native), English (professional), Mandarin (conversational). Malaysian employers hire for language; be exact, because the interview will test it.

6. Nothing else needs a section. References: Jobstreet's résumé guide says you need not list them, because employers ask when they get there. Hobbies: only if they are the point, such as a photography habit for a content role. Expected salary: not on the résumé; it belongs on the form or in the conversation, and our fresh graduate salary guide covers the numbers. The same Jobstreet guide puts one page as ideal early in a career, two only with extensive relevant experience, and PDF as usually best.

Photo, IC, age and the other Malaysian questions

Photo. Common in Malaysia, optional, not required. Jobstreet's guidance on photos says the same, and notes that a photo can introduce bias and that a text-first résumé suits applicant tracking systems better. My view from the reading side: a plain, recent head-and-shoulders photo neither helps nor hurts; a selfie, a filter or a graduation gown hurts. If you are unsure, leave it off and let the form ask. Our form asks for one, without requiring it, so you will be asked at the right time by the right party.

IC number and date of birth. Leave them off an open résumé. A file that goes to twenty employers should not carry your MyKad number to twenty inboxes. A serious employer collects it on its own form, at the point it is needed, and Malaysia's Personal Data Protection Act 2010 sets rules for how a business collects and keeps personal data. Our form asks for it without requiring it, and the identity documents we hold for the people we hire sit in a confidential store that HR, and anyone HR specifically authorises, can open; every opening is recorded.

Race, religion, marital status. Off. Jobstreet's CV format guide says to skip marital status and religion unless the employer asks, and I have never once needed race, religion or marital status to shortlist.

Bahasa or English? Write in the language of the advert. If the advert is in English, the résumé is in English, even for a Bahasa-speaking company, because that is the language the file will be discussed in. A contoh resume in Bahasa Malaysia is right for a Bahasa advert.

Résumé or CV? In Malaysia the words are used interchangeably and mean the one-to-two-page document above. The long academic CV, with publications, teaching and grants, is for research and lecturing posts.

Will a machine read it first?

Sometimes. Large employers and job portals run applicant tracking systems that search the file for the words in the advert; a small company like ours has a person read it. Either way the same rule works: use the advert's own words for the skills and the title, which is also Jobstreet's advice, keep the layout to one column with real headings, no tables, no text inside images, and save as PDF. A résumé that a machine can read is also the one a tired human can read at 11pm.

A complete sample: fresh graduate, no full-time experience

The person, the numbers and the employers below are invented; the shape is what works.

Nur Aisyah Binti Rahman
Petaling Jaya, Selangor · 012-XXX XXXX (WhatsApp) · aisyah.rahman@example.com

Marketing graduate (Universiti Malaya, 2026) who ran the social media for a home bakery as a final-year project and grew Instagram orders by 30% in eight weeks. Looking for a junior digital marketing role in the Klang Valley.

Experience and projects

Social Media Lead, final-year project for a home bakery, Shah Alam, Feb to Apr 2026

  • Planned and posted 36 pieces of Instagram content over eight weeks, growing followers from 480 to 1,900.
  • Ran a RM150 promoted post that produced 41 pre-orders for Raya, tracked through a WhatsApp order link I set up.
  • Wrote the weekly report the owner used to decide what to bake.

Marketing Intern, a property agency, Petaling Jaya, Jun to Aug 2025

  • Drafted 20 property listings a week in English and Bahasa Malaysia; two became the agency's templates.
  • Set up the agency's Google Business Profile and answered reviews, taking the rating from 3.9 to 4.4.

Part-time Barista, a café in SS15, Subang Jaya, 2023 to 2025

  • Handled the morning shift alone two days a week; trained three new hires.

Education
Bachelor of Business Administration (Marketing), Universiti Malaya, 2026, CGPA 3.52. Final-year project: Instagram growth for a home bakery.

Skills and languages
Meta Ads Manager, Canva, CapCut, Google Analytics 4 (certified), Excel. Bahasa Malaysia (native), English (professional), Mandarin (basic).

That is the whole page. Notice what is not there: no IC, no date of birth, no "references available", no objective paragraph, no skills rated with stars. Every experience line has a verb and most have a number, and the café shift is there because "alone" and "trained three" say something the degree cannot.

Thirty files. Name yours.

Five things that close the file in ten seconds

  1. A file called resume.pdf, or CV_final_v3.docx. Name it Firstname-Lastname-Resume.pdf. I open thirty of these.
  2. A wall of text with no dates. If I cannot find when you did the most recent thing, I stop looking.
  3. Adjectives instead of results. "Responsible for social media" says nothing. "Grew followers from 480 to 1,900" says everything.
  4. Two columns, icons, skill bars and a colour scheme. Templates from design sites look good and read badly. One column, real headings, black text.
  5. A summary about what you want from us rather than what you bring. "Seeking a dynamic company where I can grow" is on nine of the thirty. Be the tenth.

When a résumé gets past the ten seconds here, the next thing that happens is a call, then a first interview with HR in which you will be asked to rank the parts of the job scope and to give real examples behind our values. The résumé that helps most in that room is the one whose lines you can talk about for two minutes each. Write it that way, and our post on answering "tell me about yourself" covers the talking. If AI helped you draft it, our post on AI at work says what we look for instead. The open roles are at jobs.blackrevo.com.my.

FAQ

What is the best résumé format for Malaysia?

One page early in your career, two at most, one column, PDF. Name and contact, a two-line summary, experience or projects with dated entries and results, education, skills and languages. Most recent first.

Should I put a photo on my résumé in Malaysia?

It is optional and common, not required. Jobstreet's guidance notes it can introduce bias; a plain recent headshot neither helps nor hurts with most employers, and a selfie hurts. When in doubt, leave it off and let the employer's own form ask.

Should I include my IC number or date of birth?

No, not on a résumé that goes to many employers. An employer that needs your MyKad number collects it on its own form, at the point it is needed. The same goes for race, religion and marital status.

How do I write a résumé as a fresh graduate with no experience?

Use internships, part-time work, final-year projects, club roles and family business work as experience, each with dates and one result. Lead with a two-line summary that makes one concrete claim. The sample in this post is a fresh graduate with no full-time job.

Is a CV the same as a résumé in Malaysia?

In everyday Malaysian use, yes: both mean the one-to-two-page document. A long academic CV with publications is for research and academic posts.

Do employers in Malaysia use ATS software?

Larger employers and job portals often do; small companies usually have a person read the file. The same format works for both: the advert's own words for skills and titles, one column, real headings, no text inside images, PDF.
